Does anyone use an electronic matter management system – ie. One that allows all of the relevant documents and correspondence for a particular piece of work to be kept in a single electronic file that can be easily located and searched? If so, does anyone have experience of a system that is simple and efficient to access when working remotely and that can be used by colleagues in multiple locations, including in different continents?

We signed up to Boardpad as part of our relationship with Capita. interestingly we signed a two year deal with Capita but a three year deal with ICSA. I did try to get out of the thrid year, to renegotiate the price, but they werent inclined to play ball.
The system works really well – it has been adopted by all but one of our Main Board (its an ED who still does paper!), and we have rolled it out to Ops Board. I use the REading Rooms for a host of other stuff including a charity board on which I sit.
Technical support has always been prompt and attentive.
So my only grouse if that it is expensive, but then based on what I have seen when speaking with others, the prices are pretty similar (surprise). I probably wont sign up for three years next time though.

We tested, signed up with, and then implemented BoardPad in 2013. We were offered a 3 year contract from ICSA but they fairly readily agreed to a “break clause” after one year (possibly because they knew they were in a competitive tender process with other providers) If you have concerns then I’d have thought ICSA would agree to a “break” option after a shorter period than 3 years. We’ve had no problems at all with ICSA’s technical support or, specifically when uploading documents.
