Use of IPads to deliver Board papers

9th November 2010 11 Comments

“Have any members instituted the delivery of board papers to directors by IPad?

If so, are any of you using the Blueprint Board Pad offering or are you going it alone using existing “Apps”?”

We have just held our 1st paperless Committee meeting which went really well. All members and the secretary viewed the papers via their IPads . The papers were e mailed as PDFs and then saved in I Books.

Please contact me separately for further information.

We are actively looking at this.
From an end user perspective, I liked the look and feel of the Blueprint solutionfor Ipads and am hoping it will pass our due diligence tests.
The Chairman, CEO and Board are challenging me on this!

We have been using Board Books from Diligent for a couple of years now to deliver board packs on line and are in the process of evaluating it on iPad. The on-line version is accessible from the iPad and we are also looking at using pdf copies. There are iPad apps that allow electronic note-taking/annotation eg iAnnotate and Readdledocs to name two.

We are actively looking into this for CSR reasons and as the costs of the kit is much less than annual printing and courier fees. The difficulty is security, inability to open Adobe portfolio and lack of ability to take notes. Our IT team tell me that security issues mean that we would lose our ITIL security accreditation – which is important to our business. I am hoping that security improves with the next release. Similiarly I send the soft copy of Board books in Adobe portfolio format – it looks great and is very user friendly. Finally some Board members like to make manuscript notes on the papers and until we can work out a user friendly way of delivering this functionality we will continue to print. However for environmental and economic reasons we continue to explore iPad for the future.

We had our first paperless board meeting earlier this month using the iPad/ OnBoard/BluePrint system. The directors and my Secretariat team are absolutely delighted. This is the way forward. Lots of good sustainability points as well.

Please contact me if you want to discuss further.

We have delivered Board papers to Directors who have iPads. However, we adopted a very basic approach of merely sending them as pdfs. The feedback we had was positive, with the documents being able to be clearly read.

We are just embarking on the Blueprint Board Ipad offering, the Ipads have been purchased and the training completed. The first board meeting is in December. So far from what we have seen it just seems too good to be true.

Our directors have a preference for papers, so allowing ease of cross referral. I am sure that in time, as younger members are appointed and electronic messaging even more commonplace, that they will be introduced, but for us, not yet.

We continue to deliver hard copy Board papers and have not explored the Blueprint offering.

I would say that I think Board members like the Company Secretary to provide hard copy papers.
